The confidentiality audit

Walls, glass and the room next door

Ask what is on the other side of each wall on the day you are booked. Not what the room is called, what is booked into it.

Glass partitions are the obvious problem and the easy one to spot. The harder problem is a solid wall shared with a function room, where a board discussion is audible to a lunch on the other side because the partition is a folding acoustic divider rather than a wall. Any room described as divisible is worth two extra questions: what divides it, and is the other half booked.

If a specific item on your agenda is genuinely sensitive, ask for a room with no shared partition wall at all. Most venues have one and will not offer it unless asked.

Service access and the catering interruption

The default hotel arrangement is that tea and coffee are refreshed on a schedule and staff enter when they enter. For a board meeting that is a recurring interruption during exactly the wrong item.

The fix is simple and you have to ask for it: set everything out before the meeting, agree a single scheduled service break, and have staff stay out of the room otherwise. If you want to be thorough, ask that the room not be serviced at all during a closed session and that the door be attended from outside. Arrival and who sees the attendee list

For most boards this does not matter. For some it matters a great deal, and it is worth knowing which you are.

At least one director joins remotely from almost every board meeting now, and this is not just an AV convenience. Why this is a recurring booking, not a one-off

That changes how you should book. You are not looking for a room in November, you are looking for a room four times a year with a predictable setup, a team that already knows how you want it laid out, and a rate that reflects repeat business. The pre-function area is genuinely useful, because it gives you somewhere to hold arrivals and serve refreshments without anyone entering the meeting room. The thing to confirm is what separates the board room from the rest of that conference space and whether the adjoining half is booked on your date. Assessment based on published specifications.

Coworking and serviced offices

Regus, GoFloaters, qdesq and myHQ all list meeting rooms across Jaipur, from around ₹599 an hour for a five to eight seat room (GoFloaters). For a routine board meeting with no sensitive item, this is the efficient choice and the rest of this page is over-thinking it.

Use it when the agenda is approvals and reports. Avoid it when the agenda includes anything you would not want a stranger on the other side of a glass wall to hear, and check whether the room is glazed to the corridor before you book, because most of them are.

Harika Bagh, Jagatpura

We operate this one, so treat this as a statement of fit. Harika Bagh is a resort and banquet venue in Jagatpura, about fifteen minutes from the city centre with the Ring Road and airport close, with two air-conditioned halls, two gardens, on-site guest rooms, dedicated parking, power backup and in-house coordination.

The wall question is the one that sorts venues quickly. A property that runs board meetings answers it specifically. One that does not will reassure you that the room is very private.
