Most people shortlisting AGM venues in Jaipur start with capacity and price. The first question is actually whether the venue is legally allowed to hold your meeting. Section 96 of the Companies Act 2013 requires an annual general meeting to be held at the registered office of the company or at some other place within the city, town or village where that registered office sits, during business hours between 9 a.m. and 6 p.m., on a day that is not a National Holiday (Companies Act 2013, Section 96). Once the siting question is settled, an AGM asks a very specific set of things from a building, and almost none of them appear in a venue brochure. Can two hundred shareholders be checked in against a register in twenty minutes. Can somebody in the back row ask a question and be heard by the chair. Is there a desk where proxy forms and documents can be handled without a banquet server clearing them away. This page takes those questions to five Jaipur venues. How we chose these AGM venues
We scored venues against what an annual general meeting asks of a room, not against banquet capacity:
- Registration throughput: whether the entrance can carry a check-in desk, an attendance register and a queue that clears before the scheduled start.
- Sightlines to the chair: a dais or raised position visible from the back row, because a chair nobody can see loses control of a contested item.
- Floor audio: roving or floor-standing microphones so a question from row twelve reaches the room and the person minuting it.
- A document and proxy desk: somewhere secure and staffed for proxy forms, identity checks and papers, separate from the main entrance flow.
- A room that reads as orderly: an AGM produces a permanent record, and the tone of the room affects how the day goes when an item is contested.

Before you shortlist, check where your AGM is allowed to be held
This is the part that gets discovered late, usually by the company secretary, usually after a venue has been provisionally held.
The default rule ties the meeting to the registered office. You may hold it at the registered office itself, or anywhere within the same city, town or village. A company registered in Jaipur can meet anywhere in Jaipur. A company registered elsewhere cannot simply move its AGM to Jaipur because the venue is nicer.
There is one significant exception. An unlisted company may hold its AGM anywhere in India, provided consent is given in advance, in writing or by electronic mode, by all of its members (Companies Act 2013, Section 96). Read that as all, not most. For a closely held unlisted company with a handful of members, this is straightforward and is exactly how offsite AGMs in Jaipur legitimately happen. For anything with a wide shareholder base, it is not a practical route.
Two more constraints follow the meeting rather than the building. Notice of a general meeting must be not less than clear twenty-one days, in writing or by electronic mode (Companies Act 2013, Section 101), which sets your booking deadline as much as the venue’s calendar does. And the meeting must sit inside business hours on a day that is not a National Holiday, which quietly removes some of the most available venue dates in the year.

The parts of an AGM that stress a room
Registration and identity
Shareholders arrive in a cluster, close to the start time, and each one has to be identified and marked present on the register. This is the single most common reason an AGM starts late.
Ask the venue for the entrance area dimensions and plan the desk from there, not from the hall plan. For a couple of hundred attendees you want multiple check-in points split alphabetically, a queue that forms inside the building rather than in a car park in May, and a separate lane for proxies and institutional representatives, whose paperwork takes longer.
Proxies and the document desk
A proxy instrument has to be deposited with the company at least forty-eight hours before the meeting. A proxy may attend and vote on a poll, but has no right to speak at the meeting and cannot vote on a show of hands. One person may act as proxy for up to fifty members (Companies Act 2013, Section 105).
Each of those facts has a physical consequence. The forty-eight hour deadline means your desk is validating a list prepared in advance rather than accepting forms at the door. The no-speaking rule means somebody at the microphone needs to know who is a member and who is a proxy. And a single person carrying fifty proxies changes the arithmetic of a poll, which is a reason to have a scrutineer with a table rather than a clipboard.
Quorum, and why the number is not your headcount
For a public company, quorum is five members personally present where the membership is up to one thousand, fifteen members where it is between one thousand and five thousand, and thirty members where it exceeds five thousand. For a private company it is two members personally present (Companies Act 2013, Section 103).
These numbers are lower than most people expect, and they are about validity, not attendance. Book the room for the number you expect to turn up, which for a listed company with local retail shareholders can be many multiples of quorum, and for a private company can be four people in a room booked for eighty. Both mistakes are common and only one of them is expensive. Being heard from the back row
An AGM is the one company meeting where people who do not work for you are entitled to speak. A room with a good presenter system and no floor microphones handles the first hour and fails the moment questions start.
What you want is at least two roving microphones with staff who know the room, a chair position with its own feed, and a sound level that lets the minute-taker hear a question asked from the back without asking for it to be repeated. Long, narrow halls are the usual problem. So are rooms with a hard ceiling and a lot of glass.
Minutes and the record
Minutes of a general meeting have to be entered in the minute book within thirty days of the meeting (Companies Act 2013, Section 118). The room affects the quality of what gets recorded more than people credit. Seat the minute-taker where they can hear the floor as well as the dais, give them power and a table, and if the meeting is being recorded, tell the room at the start.

The venues
ITC Rajputana
The most straightforward choice for a formal AGM in the city. The property carries a pillarless banquet hall, Suryavanshi Mahal, which takes 450 theatre style and can be divided into three soundproof sections, alongside three board rooms with a maximum capacity of 18 (ITC Hotels).
That combination is the reason it suits an AGM specifically. The board typically meets before the AGM to approve the accounts, and having a proper board room in the same building as the main hall removes a transfer from the morning. The divisible hall also gives you a registration and holding area that is not a corridor. The trade-off is location: it is central, which is convenient for shareholders and unhelpful for a 9 a.m. start in traffic. Rajasthan International Centre, Jhalana
The best fit when the meeting is genuinely large and the questions matter. RIC publishes a 650-seat auditorium along with conference halls equipped for video conferencing (Rajasthan International Centre).
A raked auditorium solves the two problems that hurt AGMs in flat banquet halls: everybody can see the chair, and everybody can hear a question from the floor. For a shareholder meeting with a contested item on the agenda, that is worth more than a nicer carpet. It reads as institutional rather than hospitable, which is right for this format and wrong for the lunch afterwards. Book early, because it competes with the conference calendar. Hotel Clarks Amer
The practical middle option, and the one most mid-size Jaipur AGMs end up using. A dedicated convention block, halls across a range of sizes, in-house catering and AV, and a central location most local shareholders can reach without planning a journey.
The thing to pin down is what else is running that day. An AGM sharing a pre-function area with a wedding party creates a registration problem and a noise problem at exactly the wrong moment. Ask for your date’s full event schedule in writing. Assessment based on public information and the property’s corporate track record.
Jaipur Exhibition and Convention Centre, Sitapura
The scale answer, and only that. If your shareholder turnout runs into the high hundreds or beyond, the pillarless halls here take it, with parking for 5,000 cars and 2,000 coaches and a position about fifteen minutes from the airport (Eventspedia).
The parking figure is the relevant one for an AGM. Shareholder meetings generate a lot of individual arrivals in a short window, and most city hotels handle that badly. Below a few hundred attendees the space works against you: an exhibition hall with three hundred people in it looks like a poorly attended meeting, which is not the impression you want in the photographs or the room. Harika Bagh, Jagatpura
We operate this one, so read the following as a statement of fit rather than a review. Harika Bagh is a resort and banquet venue in Jagatpura, roughly fifteen minutes from the city centre with the Ring Road and airport close. Two air-conditioned halls, two gardens, on-site guest rooms, dedicated parking, power backup and in-house coordination. Comfortable at roughly 150 to 300 people.
For an AGM, the useful part is that the whole sequence happens on one property with one team: registration in the covered entrance area, the meeting in a hall, and lunch in the garden afterwards without moving anybody to a second venue. Dedicated parking matters more than usual here, because shareholders arrive individually rather than in coaches. There is more below.
Where we are the wrong answer: a large listed-company AGM, or any meeting where an auditorium with raked seating is the right room. We would point you at RIC or the JECC and say so on the call.
AGMs for housing societies and RWAs in Jaipur
A large share of the AGM bookings in this city are not company AGMs at all. They are housing societies, apartment associations and RWAs holding their annual meeting, and the brief is different in three ways worth naming.
Attendance is far less predictable, because members live nearby and decide on the day. Book for a realistic upper bound rather than the RSVP count. The agenda is frequently contested, over accounts, maintenance charges or a committee election, which makes floor microphones and a visible chair more important than anything else on the list. And the budget is genuinely tight, since it comes out of member contributions, which pushes most societies towards a hall with straightforward catering rather than a hotel package.
The practical answer for most Jaipur societies is a mid-size hall booked for a half day with tea and a simple lunch, in the neighbourhood the society is in, so members can walk or drive five minutes. The governing rules for a society AGM come from its own bye-laws and its registering statute rather than from the Companies Act, so check quorum and notice against those documents rather than against anything in this guide.
What to confirm before you sign
- Is our registered office in the same city as this venue, and if not, do we have written consent from every member?
- Where exactly will the registration desk sit, and how many check-in points fit in that space?
- How many roving microphones come with the room, and who operates them?
- Can the chair be seen from the back row when the room is at full capacity?
- Is there a lockable side room for the scrutineer, proxy validation and documents?
- What else is booked on our date, and what is in the space next to ours?
- How much parking is reserved for us, and what happens when it fills?
- Can we access the room the previous evening or from early morning to set up registration?
- Does the power backup carry the sound system, or only the lights?
- If we need to record proceedings, does the venue permit it and is there a feed from the microphones?
The microphone question is the one that separates venues. A property that has run shareholder meetings answers it with a number and a name. One that has not will tell you the sound system is very good.
Harika Bagh for a mid-size AGM
Here is where we fit, stated plainly.
An AGM of roughly 150 to 300 people with a meal afterwards is a format this property handles well. Registration sets up in the covered entrance area rather than outdoors, so a queue in May is not standing in the sun. The meeting runs in one of the two air-conditioned halls with the chair on a raised position at the short end, which keeps sightlines sensible. Afterwards the room moves to the garden for lunch without anyone driving anywhere.
The details that matter for this format specifically: dedicated parking for individual arrivals, power backup that carries the sound system rather than just the lights, on-site rooms for directors or outstation members travelling in the night before, and one coordination team for the whole day rather than three vendors handing off between them. Jagatpura keeps us about fifteen minutes from the centre, which is a reasonable ask for local shareholders.
Where we would turn it down: a large listed-company AGM, a meeting that needs raked auditorium seating, or any company whose registered office is not in Jaipur and cannot obtain unanimous member consent. That last one is a legal problem rather than a venue problem, and we would rather raise it at enquiry stage than have you discover it later.
